How Teams Can Speed Up Hiring Decisions

The hiring process can move quickly through sourcing and interviews, only to slow down at the final—and often most important—stage: the hiring decision.

When a team reaches a deadlock, the delay affects more than the internal hiring team. Strong candidates may lose interest, the candidate experience suffers, and the organisation risks losing the talent it worked hard to attract.

Why hiring decisions stall

Three common issues tend to cause delays:

  1. The hiring team is not aligned. Interviewers may be assessing different qualities or using different standards.
  2. Several candidates appear equally strong. Without agreed priorities, the team struggles to distinguish between qualified candidates.
  3. The hiring manager is not empowered. A panel may provide valuable input, but no one is clearly accountable for making the final decision.

How to speed up hiring decisions

1. Align the team before interviews begin

Use a standardised interview plan and give each panel member a clear area of focus. Before meeting candidates, agree on:

  • the competencies you need to assess;
  • the questions and assessment approach you will use; and
  • what a strong answer or example looks like.

It is also helpful to agree in advance on how to resolve a deadlock—for example, by involving a more senior team member or scheduling a structured decision meeting.

2. Define the capabilities that matter most

The market is full of strong candidates, and two people may be equally qualified without being equally suited to the role. Before interviews begin, identify the essential skills, behaviours, and experiences that will determine success.

Competency-based interview questions can help the team move beyond credentials and understand how candidates think and work. Explore areas such as collaboration, problem-solving, ownership, adaptability, and communication. This makes it easier to compare candidates against the needs of the role rather than against one another’s personalities.

3. Empower the hiring manager to make the final decision

This is often the most important factor. The panel should provide thoughtful, evidence-based input, but the hiring manager must be clearly accountable for the final decision.

That accountability only works when the manager has the trust and confidence of senior leadership. If the decision rights are unclear, teams may continue discussing the same candidates without moving forward.

Make the decision while the evidence is fresh

A strong hiring process is not only about finding good candidates. It is also about making a clear, timely, and well-informed decision.

By aligning the team early, defining the capabilities that matter, and empowering the hiring manager, organisations can reduce delays, improve the candidate experience, and close roles with greater confidence.
